Banquet Facilities Terms of Use (general banquets, conferences, and exhibitions)
Since the ANA Crowne Plaza Chitose (the “Hotel”) has the following regulations with respect to contracts related to banquets and events (“Banquet Events”) and the banquet facilities, the Hotel asks that you become familiar with the use of the banquet facilities, the setup, and payments.
1. Banquet Time and Additional Room Charges
- The contracted time from the start to the finish of the use of the Banquet Event (“Banquet Time”) will be charged at the fixed room charge. However, if the Banquet Time runs beyond the agreed-upon Banquet Time, the client will be charged an additional room fee. However, depending on the schedule of other booked venues, the Hotel may not be able to accommodate any requests for time extensions. Thank you for your understanding.
2. Confirmation of Number of Paying Guests
- "Please contact the Hotel representative in charge to inform them of the final number of guests for the meal (“Number of Paying Guests”) by 3 p.m. at least 4 days prior to the date of the Banquet Event.
Once the Number of Paying Guests has been informed to the Hotel, However, since all arrangements will be deemed completed after that, the client shall be charged based on the final Number of Paying Guests originally expected, even if there is a decrease in the Number of Paying Guests. "
3. Deposit (Application Fee)
- (Application Fee) In certain cases, the Hotel may require the payment of a deposit when making a reservation for a Banquet Event. The amount of the deposit will be based on the total estimated amount for the Banquet Event that is submitted by the Hotel.
4. Advance Payments Received
- "The client will, in principle, pay the total amount of the estimate submitted by the Hotel at least 7 days before the date of the Banquet Event in cash or by a bank transfer.
The client acknowledges that the client may be required to pay a deposit for accommodations on the day of the Banquet Event or for accommodation fees for the nights before or after the Banquet."
5. Cancellation Fees and Date Change Fees
- If the client cancels a contract for a Banquet Event for its convenience or changes the date, the client will be charged the following cancellation fees or date change fees.
- 20% of the total estimate plus various administrative expenses: Between the date of the contract and 90 days prior to the date of the Banquet Event
- 30% of the total estimate plus various administrative expenses: Between the 89th to the 60th days prior to the date of the Banquet Event
- 50% of the total estimate plus various administrative expenses: Between the 59th to the 30th days prior to the date of the Banquet Event
- 80% of the total estimate plus various administrative expenses: Between the 29th to the 10th days prior to the date of the Banquet Event
- 100% of the total estimate plus various administrative expenses: Between the 9th to the date of the Banquet Event
6. Arrangements for Decorations and Entertainment
- Decorations, music, entertainment, and receptionists related to the Banquet Event will be arranged by the Hotel-designated vendors. If the client chooses to directly use a vendor other than the Hotel-designated vendor, the client will contact the Hotel in advance to ensure the smooth operation of the Banquet Event and will make such arrangements after obtaining the Hotel’s approval. The client is asked to refrain from requesting a vendor directly without the prior consent of the Hotel.
7. Instructions for Direct Requests to Vendors
- With respect to events involving vendors directly requested by the client and with the Hotel’s approval, the Hotel will instruct the vendors to follow certain rules taking into consideration the Hotel’s aesthetics and traffic flow for the delivery and installment of equipment and materials for decoration and entertainment, and for determining the size and installation method, as well as for setting up the installation sites.
8. Compensation for Damages
- The client (including all guests of the Client) as well as vendors directly hired by the Client shall be careful to not damage or destroy the Hotel’s facilities, equipment, furnishings, and the like. If there is any damage to the facilities, equipment, furnishings and the like, the Hotel will provide instructions about how to repair the damage. In such a case, the client will promptly undertake to repair the damage or pay compensation for the damage incurred.
9. Prohibitions
- The client will refrain from engaging in the following prohibited acts:
- Bringing in dogs, cats, birds, other pets or other domesticated animals
- Bringing in flammable or inflammable items
- Bringing in any items that emit foul odors
- Any act that is contrary to public morals, such as gambling, or any conduct that may disturb the guests
- Moving any fixtures or fittings
- Any use other than the intended use
- Any other conduct prohibited by laws and regulations
10. Cancellation
- Please note that the Hotel reserves the right to deny an application for the Banquet or cancel the Banquet contract if the Hotel determines that there is a risk that the guests attending the Banquet may violate a law or act in a way against public order or morals or in a way that will annoy other guests.
- In the case of individuals or entities involved with organized crime groups, members of such groups, organizations related to such groups, or individuals associated with other antisocial forces
- When the Hotel determines that an act that violates laws and regulations or otherwise is contrary to public order and morals is likely to occur
- When the Hotel anticipates, determines, or ascertains that an act that may annoy another guest
- When [a guest] makes coercive or violent requests, or makes unreasonable demands on the Hotel or its other employees
- If these Banquet Facilities Terms and Conditions are violated
